As travel managers and decision-makers, the effectiveness of your organization’s travel policy is crucial. Yet, a recent BCD survey highlights a significant gap between policy awareness and actual compliance among business travelers.
High awareness, low compliance
Our survey of over 1,200 business travelers worldwide reveals a surprising disconnect. While 95% of travelers know where to find their travel policy, and 90% have consulted it, a staggering two-thirds still book outside of the policy. This discrepancy presents challenges in cost control, risk management, and achieving organizational goals like sustainability.
“Based on our survey results, travelers in NORAM are less inclined to consult their corporation’s travel policy compared to travelers from APAC and Europe,” said Craig Bailey, president, Americas at BCD. “This could result in more out-of-policy bookings. While these bookings create extra costs and, in some cases, risk issues, the lack of awareness around policy changes could also hurt the organization’s overall goals, for instance, regarding sustainability.”
Why do travelers deviate from the policy?
The survey identifies key reasons for non-compliance: client meetings requiring out-of-policy arrangements and booking conference accommodations with non-preferred suppliers. Companies can tackle these issues by involving employees in policy creation and making the policies more flexible and responsive to travelers’ needs.
The need for flexibility
Travelers express a desire for more flexibility in booking transportation and accommodation. Over 30% want increased spend limits and additional air ancillaries. Understanding and accommodating these needs can enhance compliance and satisfaction.
Influencing compliance
Effective travel policy communication is crucial from the onboarding stage. Educate new hires about the policy’s importance, how it aligns with company goals, and its role in cost savings and duty of care. The bigger picture
Only 8% of travelers consider the travel policy when accepting a job, but a quarter say it influences their decision to stay with the company. Tailoring policies to regional needs can enhance retention and compliance.
