Case study: BCD M&E pulls off virtual conference fit for royalty

Here’s what happened when The Royal Society appointed BCD Meetings & Events as planners for its first-ever virtual Commonwealth Science Conference.

London’s The Royal Society has been meeting since the 1600’s, bringing together some of the world’s best scientists to promote excellence in the field. In recent times, The Royal Society has held a Commonwealth Science Conference every three to four years to strengthen collaboration between scientists from across the Commonwealth. After COVID-19 struck, The Royal Society partnered with BCD Meetings & Events to design a virtual version of its historic meeting.

BCD M&E provided event management, virtual platforms, data management, analytics, and technical production to The Royal Society. The logistics involved five networking tools and 30+ hours of video content reaching participants in 32 commonwealth countries. The planners had to deliver virtual networking opportunities, online spaces for “face-to-face” meetings, and a mix of live and pre-recorded content.

The result was a four-day production nearly made for TV. Presenters webcast from different Commonwealth countries and 87 speakers participated. The entire show was delivered from a central production studio, ensuring a high-quality broadcast and strong connection to the audience. The meeting platform opened a week in advance of the conference and remained open for a month following for attendee collaboration.
